How do you manage your projects

May 2nd, 2008

Supervising projects is a challenging activity that involves dealing with 4 traditional variables: expenditure, schedule, time and producing a satisfactory result. Qualified project managers also try to make the organization of business processes better. Most projects employ such components as labour, funds, and tools to achieve something of value and hit selected targets. You should know that there are a number of things that are vital for efficient project management. A few of them can be found below:

- Establishing objectives and carrying out analysis.

- Handling risk. Take any project and you will see that it has a lot of risks that have to be dealt with.

- Choosing people and equipment for the project.

- Understanding the product you want to obtain on completion of the project.

- Managing what is going on: giving out jobs, controlling the work-in-progress.

- Making sure that the products of the tasks are of satisfactory quality.

- Handling instability. Change is constant. Most projects occur in time, so the factor of dynamics should be accounted for.

- Exchanging information with project stakeholders.

To handle these issues you can use pencil and paper or perhaps MS EXCEL. However, you get some interesting pluses if you go for project tracking software:

- It makes scheduling easy. The length of work can be adjusted by the program depending on the workload data. You can define work time-tables for different people. Managing progress also becomes easier to manage.

- Managing several projects with various prerequisites. Project tracking software allows project executives to observea bigger picture and collect data on a number of projects.

- Critical path is easy to detect. The critical path is made of tasks that directly influence the real duration of the project. Should an activity on this path change duration, the rest of the project will be touched by this change. It should be noted that for tasks that are not on the critical path small changes in duration can have no influence whatsoever on the project.

- Disseminating information among the team members. The more complicated are the project needs, the more of them have to be talked about. Groupware productivity tracking software allows each participant to be on the same page every time.

Is it always a must to employ task tracking software?

Project tracking software could not be suitable in 100 percent of all cases. The best time to reap the benefits from such software is when you work on a few big projects. Little projects can be supervised using a spreadsheet program which helps you save on overhead costs of handling such complex software.
