What's happening in project tracking

March 10th, 2008

Any project coordinator handles four components: spending, schedule, duration and producing a satisfactory result. Professional PMs also aim at making the organization of business processes better. The majority of tasks utilize such elements as people, funds, and equipment to produce something of value and meet objectives. There are a number of factors that are crucial for successful project management. Some of them are listed in the next paragraph:

- Setting objectives and carrying out analysis.

- Dealing with risk. Most feature a certain level of risk.

- Allocating and managing resources.

- Having a clear idea about the product you want to obtain when the project is finished.

- Controlling the project in terms of who is doing what and when.

- Making sure that the outcomes of the project are of satisfactory quality.

- Managing changes. Change is constant. Most tasks occur in time, so the element of dynamics should be properly considered.

- Talking to people involved with the project.

To manage these components you can employ pen and paper or probably MS EXCEL. Nevertheless, dedicated project tracking software offers a number of important advantages:

- It simplifies scheduling. The length of work can be calculated automatically depending on the workload information. It is possible to set work time-tables for different resources. It also makes it simpler to track the work-in-progress on relevant tasks.

- Managing a few projects with different prerequisites. Progress tracking software helps project managers to seea bigger picture and collect data on a number of projects.

- It helps you find the critical path. The critical path is a primary notion in project planning. If an activity on the critical path takes longer than the manager planned, dates of work on other tasks will be changed. At the same time for activities that are outside the critical path minor changes in duration can have no effect whatsoever on other activities.

- Letting all involved know what is going on. The more complicated are the project needs, the more of them have to be talked about. Productivity tracking software makes distribution of data easier than it has ever been before.

Is it always a must to employ task tracking software?

Like any instrument, project management software has its issues. The most suitable time to reap the benefits from such programs is when you supervisea few big projects. It could be a good idea to manage smaller projects manually, so that there is no need to pay large overhead connected with using complicated programs.
